E-mail Solution
NOTE: The E-mail Solution affords the Highest Security Level
Steps to On-Line Voting…
* Customer delivers digital list of eligible Voters (along with pertinent information) to InternetCrusade® including
Voter’s most current E-mail address on file with Customer.
* Customer also delivers information to be included in Ballot, Candidates running for office and/or other issues requiring a vote.
* Customer indicates which Voter information will be used as "Identifiers". Suggested Identifiers can include NRDS number and/or Real Estate License Number and/or any other qualifying information Customer prefers.
* In addition, InternetCrusade® will assign randomly generated PIN numbers which can also be used as a possible unique identifier.
* Customer notifies qualified Voters with instructions on 'How-To' vote. Included in the instructions will be a specific URL supplied by InternetCrusade®. Also included in the Instructions are Customer's rules as to time limit on voting and the specific Identifiers the voter must enter to be identified (qualified) to vote. Instructions will inform Voter that as part of the process, an E-mail Ballot Notice will be sent to the current E-mail address on file with Customer. This gives Customer the opportunity to update E-mail addresses.
o NOTE: InternetCrusade® suggests that the E-mail address on file be indicated within Instructions as well. This will give the Voter the opportunity to contact Customer if the E-mail address or any of the other Identifiers are incorrect.
* Voter then goes to URL and enters Identifier(s) as requested by Customer.
o NOTE: If Voter goes to URL before Election Day, they will be notified to return again at the specific date.
* If Identifier(s) do NOT match, a visual alert will indicate to the Voter, which Identifiers do NOT match that are on file with Customer, giving the voter the opportunity to re-enter the Identifiers and try again. In addition, Voter will be prompted to contact Customer to correct conflicting identifier(s) on file.
o NOTE: A unique optional feature of InternetCrusade®'s Voting System (at no additional fee) is the ability for the Customer to change any of the Voter Identifier(s). To accomplish this, the Customer will be given a password-protected, encrypted web site, which can be accessed at anytime to correct Voter Identifier(s).
* If ALL Voters’ Identifiers match correctly, Voter is taken to a web page, which indicates that an E-mail Ballot Notice was sent to Voter's E-mail address on record.
* When Voter receives E-mail Ballot Notice, they are prompted to click on a hyperlink that takes the Voter to their respective Ballot.
o NOTE: As an added measure of security, the hyperlink also includes an additional random security key, which is generated by InternetCrusade®.
* Voter then completes Ballot.
o NOTE: InternetCrusade® offers an option for 'Write-In' candidates.
o NOTE: Customer will determine if "Under-Votes" (abstentions) are allowed. If Customer has decided to allow "Under-Votes" an option will be available for Voter to "Abstain" from "all or part" of any Category (Candidate and/or other Issue). If Customer does not permit Under-Votes, they will not be accepted until Voter corrects Ballot
o NOTE: If Voter chooses too many choices for candidates (Over-Vote), they will be given a visual alert.
Over-votes will not be accepted until Voter corrects Ballot.
* Upon successful completion of Ballot, Voter is given opportunity to "Review" or "Accept" Ballot.
* Upon Acceptance the Voter's Vote is "Cast".
o NOTE: InternetCrusade® does not know who voted for whom… This data is NOT stored in our Databases.
* REPORTS: At the completion of the Voting, the results will be available on a password-protected website, indicating
o How many votes were cast
o Results of election
o Additional information available, including who did (and didn't) vote.
